Documenting the handover and takeover of a rented property is a private report describing the condition of the property on a precise date: finishes, furniture, appliances, visible installations, inventory, keys and meter readings.
The purpose of the document is to remove memory-based disputes at the end of the tenancy. Both parties start from the same photographic reference, and damage existing at handover is recorded as such.
The documentation is visual and non-invasive and can be carried out both at the start and at the end of the contract.
What we document
We go through the property systematically and photograph each room from angles that allow later comparison.
- The visible condition of walls, ceilings, floors, joinery and doors.
- Sanitary ware, radiators, exposed installations and the operation of elements that can be operated safely.
- Furniture and appliances handed over, with their visible condition and, where available, the serial number.
- Balcony, terrace, storage room, garage or ancillary spaces included in the contract.
- Cleanliness and general conditions at the time of handover.
Inventory, keys and meters
The inventory lists the items handed over, with description and quantity. Keys, access cards and remote controls are counted and recorded by category.
Meter readings for electricity, cold water, hot water and gas are read and photographed on the handover date, with the meter number where visible. These values are a record of the reading, not a metrological certification.
Photographs and existing damage
The photographs are dated and organised by room, and existing damage is photographed separately, with location and description. A scratch on the parquet, a stain on the wallpaper or a missing seal in the bathroom is recorded at handover, so it is not later attributed to the tenant.
At the end of the tenancy, a second documentation allows a direct, point-by-point comparison of the condition.
What the parties receive
A single document, sent to the parties indicated by the client, serving as a shared reference.
Contractual limits
Handover documentation is a private service of visual observation. It supports the relationship between the parties but does not govern it.
- It is not an authorised technical expert report, a design review, an official handover of works, nor an ANEVAR valuation.
- We issue no legal certification and take no position on whether the building complies with its permit or technical documentation.
- We make no cuts, drillings, demolitions or dismantling; we check what is visible and accessible at the time of the visit.
- We cannot confirm the condition of elements hidden inside the structure, screeds, walls or spaces without access.
- It does not replace the handover protocol signed by the parties and produces no contractual effects by itself.
- We do not certify the technical operation of appliances and carry out no service checks.
- Meter readings are a record of the reading on the day of the visit, with no metrological value.
- We do not value the items and do not establish the amount of any compensation.

Handover documentation for a rented property starts from RON 1,500. For a purchased property the service starts from RON 2,800, because the check and the documentation cover a wider scope.
The final price depends on floor area, number of rooms, the size of the inventory and the location. The second documentation, at the end of the tenancy, is quoted separately.

Does it replace the handover protocol?
No. The protocol remains the contractual document signed by landlord and tenant. Our report is a private documentation that can be annexed to it, providing dated photographs and a detailed inventory.
Do you document the appliances too?
Yes, as visible condition and, where visible, with the serial number. We only operate elements that can be switched on safely. We do not certify technical operation and carry out no service checks.
Are meter readings recorded?
Yes. We read and photograph the readings for electricity, cold water, hot water and gas, with the meter number where visible. This is a record of the reading on the day of the visit, with no metrological value.
Who receives the report?
The report is sent to the client who ordered the service and, at their express request, to the other party as well. It is most useful when both parties hold the same document as a shared reference.
